Purpose of the role
Provides a wide range of administrative and general support duties to senior leaders in a responsible & confidential manner. Frequently communicates with senior-level internal and external contacts and is regularly exposed to confidential data.
The position is primarily aimed at assisting the CEO, but will also include tasks for other management members e.g. the General Counsel & Corporate Secretary, organizing and coordinating meetings for the Supervisory Board, Audit Committee and other governance committees, managing complex travel arrangements, managing expenses, preparing reports, communication (phone, email, etc),administration etc.
Dimensions of job / Responsibilities
• Organize meetings/events and manage complex travel arrangements.
• Manage monthly company credit card and other type of travel expenses manually.
• Prepares and distributes documents, reports, and confidential communications.
• In agreement with the leader’s support, screen calls, emails, and letters & relay the relevant information to them
• Ensure timely communication and monitors deadline.
• Maintains discretion and high integrity with confidential information.
• Supports expense policy processes and administrative tools (SAP, Diligent Board Books).
• Takes minutes, monitors action points, and follows up as needed.

Education & Experience required
• HBO/ Bachelor in Business Administration, Executive Office Management or similar.
• Preferably, 8+ years’ experience as Executive/Personal Assistant in an international & global environment
• Customer focus, priority setting, proactivity
• Business acumen and sensible understanding of the organizational structure & hierarchy
• Adaptability to CEO’s working style, relationship building.
• High level of tact, integrity, and hands-on approach.
• Fluent in English and Dutch (verbal and written).
• Advanced software skills (AI, Copilot, Salesforce, SAP, Office 365).
• Experience with Diligent Board Books.
• Ability to work under deadlines and time pressure.
• Preferable knowledge of USA travel arrangements.
• Ability to deal with complex & ambiguous situations & critical thinking
