Purpose of the role: 

 

Advises and performs on organizational and administrative activities for the benefit of the CEO and another management team member and leads the team of Business Support Specialists to enhance continuously the efficiency and effectiveness of the organization. 

 

Your responsibilities: 

 

  • Support primarily the CEO and hierarchically lead the Business Support Specialist team.
  • Advise on content related topics, recommend on the usage of digital collaboration tools effectively and follow-up on communication.
  • Make sure that the team of Business Support Specialists advises and supports the teams in their function/division
  • Lead the team of other business support specialists to deliver excellent business support as one team
  • Develop-, performance management and support the team in the role as leader
  • Ensure the business support is executed in a standardised
  • Role-model thinking about continuous improvements to increase the collaboration within the team and the business, the efficiency of the processes and procedures, and proposes and implement/manages the improvements 
  • Solid knowledge of all the applicable policies/procedures/processes and monitors and advises on how to use and act accordingly (including data privacy, business conduct etc).
  • Participate in projects, manage files in online collaboration team (archiving if required), monitor deadlines, prepare agendas for (project) meetings, prepare basic reports, meeting minutes and follow-up pro-actively on content related topics
  • Provide high skilled support on: Global event and meeting management, complex travel arrangements, expense management et
  • Frequently facilitating communication and arrangements with the Supervisory Board, subsidiaries, branches, and acts as a liaison between the Board and the required ExCo members and other stakeholder

This role will suit you if you have the following:

 

  • Min. 7 years of experience is required in a changing, highly demanding international environment, preferably in a Global Corporate.
  • Pro-active attitude in communication, connect with colleagues, propose ways to solve (administrative) issues, inform directors pro-actively about important topics
  • Adaptation to the preferred working style of the CEO and build a strong professional relationship 
  • Profound knowledge of all Microsoft Office applications (Excel, Word, PowerPoint and Teams), experience as a senior SAP user, and preferably experience with Diligence meeting document tool. Follows IT innovations on collaboration tools, promote new digital ways of working. 
  • Fluent in English (both speaking and writing) and preferably in one other language.
  • Other skills: management skills and basic reporting skills, building collaborative relationships in the internal/ external team, flexible with work arrangements, able to plan operations and establish priorities, good coordination of activities, customer focused.
